Guide Owners: Create a New RFA

Guide Owners can build an RFA through the Super RFA Dashboard in LDOE's Canopy. 


Create a New RFA 


Access the RFA Dashboard by logging in as a Leader in LDOE's Canopy 

Refer to 'Guide Owners: Access Super RFA' for more information.



From the RFA Dashboard, select 'Create a New RFA'. 

Note: To create a new RFA, you must be added as a Guide Owner by a Super Admin. 



Step 1: RFA Details 

Input the the RFA details, including the RFA Name, RFA Description, associated Guide, Badge (if applicable), and use the toggle to indicate if the RFA will have a deadline. 

  • Deadline is optional. If turned on, select the date for the RFA deadline.

Select 'Next' to begin building the application. 



Step 2: Building your Application

After adding the RFA details you are now ready to build your application using the content builder. 

  • Traditionally the RFA is built using the three sections: 
    • Application- used to provide all necessary information for this application.
    • Submission- where applicants will submit their information.
    • Review table- used by reviewers and guide owners throughout the RFA process. 
  • Create sections using the 'Add Section' button in the top right corner. Build each section to match your needs using the content builder tools. 
    • Edit sections and subsections titles using the edit icon next to the titles.
    • Add additional subsections using the 'Add Subsection' button in the section's title bar. 
    • Delete a section, using the three dots in the section's title bar. 



Use the content builder to build each section of the RFA. The content builder allows you to add in: 

  • Text - used to create a text block for directions and general information for the applicants to read and review
  • PDF/ MS Office - used to embed PDFs or Microsoft files
  • Questions - Choose between short answer, single response polls, multiple response polls, or video response question types
  • Google Drive - Embed Google Drive resources
  • Image - Add an image 
  • Video - Upload a video using a YouTube link, creating a screencast, or embedding a video from your computer
  • Submission - Space for applicants to submit documents or videos created outside of the Canopy platform
  • Review Table - Select the applicable indicators for applicants to review and reviewers to use during the review process, as well as the guiding questions, scoring evidence, and scoring type
    • Tip: Select ‘Review Table’ from the content builder options to add the review section in another location or if accidentally removed.  
  • Select 'Save' to add content to their application. 



In the Review Table, select the indicators using the drop down options.  

Choose the scoring method by selecting Binary Score or 3-Point Scale. 

Remove an indicator using the red trash can icon that will appear on the left when you hover over an indicator's row. 

  • Applicants can view the indicators they must meet when reviewing an RFA application. 


As the Guide Owner, you are also required to complete the Questions and Scoring Criteria fields to support reviewers and applicants. Questions and Scoring Criteria can be copied and pasted from the established guidance or typed into the fields with the corresponding indicators. 

  • Tip: Once you have added indicators, questions, and scoring criteria, you can 'Make a Copy' of the application for future RFAs to save time in the future. 



Note: Guide owners will not use the evidence column, this is where the reviewers will provide rationale for their selected scores.

 

Step 3: Preview & Publish your Application 

Use the preview button to view each section of the application as an applicant.  

When the RFA is complete, select 'Publish Application' in the top right corner. 



  • Choose 'Publish Now' or 'Schedule'.  

When choosing Schedule, you will be prompted to select a date and time for the RFA to publish. 


After making your selection

  • A teal check mark will appear at the top to indicate the application is published. 
  • A clock icon will appear at the top to indicate the application is scheduled to be published.
